Cancellation & Refund Policy

Last updated: 7 November 2026

HairDoc is a healthcare clinic providing professional consultations, hair and scalp assessments, treatment sessions and follow-up care. We do not sell or deliver retail products through this website. Therefore, product returns and exchanges do not apply.

Our no-refund policy: Every person seeking treatment must first attend a paid consultation. Once a consultation or treatment service has been provided, its fee is non-refundable. A consultation fee pays for the clinician’s professional time, examination, assessment and advice—not for a guaranteed diagnosis, treatment recommendation or outcome. Treatment fees similarly cover the clinical services actually performed. We communicate applicable charges and cancellation conditions before accepting payment. This policy does not remove legal rights or remedies for payment mistakes or services not provided.

1. Consultation and Appointment Fees

Every patient seeking treatment must first attend a paid consultation. The fee covers the clinician’s time spent discussing concerns, taking relevant history, examining the hair or scalp and explaining the findings or next steps. Once this consultation has taken place, the consultation fee is non-refundable, even if the patient decides not to begin treatment or the clinician does not recommend a particular procedure. The fee is for the consultation service, not a promise of treatment or results.

For a prepaid appointment cancelled by the patient or missed without attendance, the refund or rescheduling conditions communicated before payment apply. Patients should contact the clinic as early as possible to request another appointment; rescheduling is subject to availability.

2. Treatment and Follow-Up Fees

HairDoc does not provide refunds for treatment sessions or follow-up services that have already been performed. These charges cover the clinician’s work, clinic resources and services delivered during the session. Stopping treatment or choosing not to continue does not make previously completed sessions refundable. Clinical outcomes can vary; however, this does not exclude remedies for any legally established deficiency in service.

For advances or multi-session plans, HairDoc explains the included sessions, planned schedule, total fee, any further charges and cancellation terms before collecting payment. If the clinic cannot provide any paid but unperformed component, it will be reviewed under the exceptions below and applicable law.

3. Payment Corrections and Legally Required Exceptions

We review potential refunds, reversals or other appropriate remedies for duplicate payments, an incorrect amount, a failed transaction that was nevertheless charged, or a service paid for but not supplied due to the clinic’s inability to deliver it.

Where consumer law or another binding obligation requires a refund or other remedy, the no-refund rule does not override that right. Dissatisfaction with a clinical outcome alone is not a ground for a refund.

4. How to Report a Payment Issue

Email info@hairdoc.in or phone +91 84311 17777 with the patient’s name, registered phone number, branch, booked service, payment date and amount, transaction reference and explanation. Do not send full card numbers, OTPs, CVVs or passwords.

We will review the issue with the relevant clinic and payment provider and may ask for reasonable supporting information to verify a charge or service record.

5. Processing of Approved Refunds

Where a refund is approved or legally required, HairDoc will communicate its decision and initiate the refund to the original payment method in accordance with applicable law and payment-provider procedures. For a payment debited without a corresponding confirmed service or transaction receipt, contact the clinic with the transaction reference for investigation. The time taken for the amount to appear in the patient’s account depends on the original bank or payment provider.

6. Why Product Returns and Exchanges Do Not Apply

HairDoc’s website is for clinic consultations and treatments rather than retail-product sales. A medical consultation or treatment session is a service provided to the patient and cannot be physically returned or exchanged after it has been delivered. We do not ship products through the website, so product delivery, courier returns and exchanges are not applicable. Any statutory rights relating to items supplied in connection with clinical care remain unaffected.
